Monday - Friday 8 am to 5 pm The Administrative Assistant plays a pivotal role in facilitating efficient office operations and ensuring seamless communication with customers, stakeholders, and team members.
This position involves diverse responsibilities, ranging from scheduling and customer service to financial administration, compliance documentation, and HR support.
Primary Responsibilities Answer phones, provide exceptional customer service, and maintain a detailed call log Greeting visitors at front desk and making sure they are signed in Accepting incoming packages and delivering to the right people Complete First Notice of Loss (FNOL) documentation accurately Maintain an organized file system Manage outgoing/incoming mail and email Supply order:
Office supplies and employee apparel Maintain proper on-hand delivery of office and general supplies:
Ensure needed supplies are on-hand, resulting in productive employees Maintain subcontractor files Assist Project Manager's with getting expense reports Maintaining copies on hand:
New hire folders, applications, background check forms, intake forms, etc Assist Human Resources with scheduling and coordinating interviews, running background checks, etc Perform other job duties as assigned Position Requirements 2
year(s) of administrative or office-related experience Experience in service industry environment a plus Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times Possess polite, confident, and excellent customer service skills, including listening and questioning skills Ability to remain calm and professional during tense or stressful situations Excellent organizational skills and strong attention to detail Very self-motivated and goal-oriented Ability to multi-task Capability to work in a fast-paced, team-oriented office environment Proficient in Microsoft Office (i.
e.
, Outlook, Word, Excel) Minimum of HSD/GED preferred Able to successfully complete a background check subject to applicable law
